Teams & Corporate Plans FAQ
Answers for HR, People, and benefits teams considering A Personal Moment as a seat-based employee wellness benefit. Corporate seat plans are sold on this store; the app itself runs at https://app.itsamoment.com.
Quick facts
- Corporate plans are priced per employee per year, billed once: $66 (6-50 employees), $42 (51-100), $30 (101-300), $21 (301-1,000), $15 (1,001+). Plans start at six seats.
- The corporate library covers Guided Meditations, Crystal Bowl Meditations, Binaural / Productivity Meditations, and Instrumentals — secular and workplace-appropriate, with at least one new meditation added every week.
- Chakra, Psychic Growth, and Spiritual Wellness meditations are not part of the corporate offering, but are available to employees who choose to upgrade their own membership — and those pages carry no corporate or sponsor branding of any kind. Because their employer covers a seat, employees pay only the gap to the $7.99/month Full Access rate: $2.49/month on the 6-50 band, $4.49 on 51-100, $5.49 on 101-300, $6.24 on 301-1,000, $6.74 on 1,001+.
- Employers get a monthly aggregate report of five numbers: employees invited, accounts activated, monthly active users, total sessions played, and average sessions per active user. A live sample sits at https://app.itsamoment.com/for-business/sample-report.
- Reporting is aggregate-only, always. An employer can never look up an individual employee's usage.
- Most companies consider the program successful at 20%-30% average monthly usage.
- Nothing to install: browser-based, email + password sign-in, one active device per account. No app store approval, no MDM, no IT ticket.
- A Personal Moment is not an EAP, not therapy, and not a clinical product.
- A Personal Moment is owned and operated by It's a Moment, LLC.
Plans and pricing
How much does A Personal Moment cost for teams?
Team pricing is per employee per year, billed once, and the rate drops as the group gets bigger: $66 per employee per year for 6-50 employees, $42 for 51-100, $30 for 101-300, $21 for 301-1,000, and $15 for 1,001 or more. That works out to roughly $5.50, $3.50, $2.50, $1.75, and $1.25 per employee per month, but the yearly figure is the one billed. Every seat includes the full corporate library. You can pick a team size and check out directly on itsamoment.com.
What's the minimum team size?
Team plans start at six seats. For groups of one to five, individual plans at https://app.itsamoment.com/pricing cover you — $9.99/month, $59.95/year, or $149.95 lifetime, each person on their own subscription.
We have more than 1,000 employees — can you handle that?
Yes. At 1,001 or more employees the rate is $15 per employee per year, billed once for the year. For very large deployments or anything that needs a custom arrangement, contact us and we'll set up a short meeting with our sales manager.
Is billing monthly or annual?
Team subscriptions are billed annually, once. That's how we can offer the per-seat rates below the $9.99/month individual rate.
How do we pay for a team subscription?
Our preferred payment method is ACH bank transfer or check. ACH is verified via Plaid and usually clears in 3-5 business days; if you'd rather pay by check, we'll email you a formatted invoice with mailing instructions and the account stays pending until the check clears. We do also accept credit cards, up to our payment processors' transaction limits.
Can we do a pilot or free trial before committing to a year?
There is no trial period on the corporate side. What most companies use to judge the program instead is participation: they consider it successful if they land between 20% and 30% average monthly usage, and we're glad to work with you to build an internal messaging and secondary email campaign to help you get there. If you'd like to try the experience yourself before committing, an individual account is $9.99 a month and the monthly plan starts with a 7-day free trial - the same content your employees would have.
Why should we choose you over Calm or Headspace?
Our tiered pricing usually comes in lower than Headspace or Calm for our corporate-friendly suite of meditations. If you have a written quote that says something different, I can set up a short meeting with our sales manager so you can discuss matching or beating your written quote. Two other differences worth knowing: we collect virtually no personal data, so HR sees aggregate engagement only, we never ask employees how they feel, and we have no way to track biometrics. And the corporate library is built for the workday rather than as a consumer catalogue, with five-to-fifteen-minute resets and hour-long binaural tracks for focus.
Rollout and administration
How does our team get started?
Three steps. First, pick your team size and number of seats in the seat picker on itsamoment.com and check out — plans start at six seats: $66 per employee per year for 6-50 employees, $42 for 51-100, $30 for 101-300, $21 for 301-1,000, and $15 for 1,001+, all billed once for the year. Second, after payment we email you a secure onboarding link where you choose allowed categories, upload your logo, and add your employee list. Third, welcome emails go out to your team within 24 hours of the onboarding page being completed.
How does a rollout to our team actually work?
Payment comes first: ACH is verified via Plaid and usually clears in 3-5 business days, a check leaves the account in pending status until it clears, and a credit card payment clears immediately. Once payment is confirmed, we send you a secure onboarding link where you choose your allowed categories, upload your logo, and upload a CSV of your team with first name, last name, and company email for each employee. Company email addresses matter - that's how each account stays tied to your subscription and how usage is counted in your engagement report. Welcome emails can go out within 24 hours of you completing the onboarding page, and each one carries a link to activate an account and set a password. From your side there's no software to install and no IT ticket to file.
What if we need to add more seats mid-year?
Add seats anytime. Email us the names and email addresses of the new team members you'd like to add, and we'll issue their welcome emails within 2 business days. We prorate the additional cost for the remainder of your annual term at the per-seat rate you're currently on, and your renewal date stays the same. If you cross into a larger seat tier during the year, we honor your current pricing until renewal — the new tier rate kicks in when you renew.
What happens when someone leaves — can we remove seats mid-year?
Yes. If an employee leaves your company, email us the name and email address to remove, and we'll deactivate that seat within 2 business days. When you have a new hire to fill the spot, email us their name and email — we'll issue them a welcome email and they're active within 2 business days. The seat count you're paying for stays the same, so there's no billing change mid-year. If you need to permanently reduce your total seat count, we handle that at renewal.
Do we pay for everyone on payroll or only the employees who actually sign in?
You pay for the seats you buy for the year, not only the people who end up signing in. On the gap you're describing: most companies consider the program successful if they land between 20% and 30% average monthly usage, so nobody expects those two numbers to match, and we're glad to work with you to build an internal messaging and secondary email campaign to lift it. Your monthly report shows both sides of it - Invited, Activated, Monthly Active Users, Sessions, and Average Sessions per Active User - all aggregate, never individual.
How much of my week does administering this take once it's live?
Your only time commitment after the initial onboarding page is complete would be the time it takes to email us your personnel changes. There's no admin portal to keep up with, no software to maintain, and no IT ticket to file - send us the names and email addresses that changed and we handle it from there.
Do we get an admin dashboard?
Not a self-serve dashboard — and that's intentional. A Personal Moment is designed as a low-touch benefit for you: no portal to learn, no login to maintain, no seat management to worry about. Everything runs through a single point of contact. Your monthly engagement report arrives by email on the first Monday of every month. Roster changes, invoice requests, off-cycle reports, and anything else you need — just email us and we handle it within 2 business days. Admins never see individual employee usage. All reporting is aggregate only.
What if we want to cancel before the year is up?
Annual team subscriptions are non-refundable once the term starts, but you can choose not to renew at the end of your year — just email us before your renewal date. If something has gone wrong on our end, reach out. We always want to make it right.
Reporting and engagement
What does the monthly HR report look like?
HR sees five numbers each month: Invited, Activated, Monthly Active Users, Sessions, and Average Sessions per Active User — plus category-level engagement (which types of meditations are being used most). There's a live sample report on the For Business page so you can see exactly what you'd get.
How often do we get engagement reports?
You'll receive an aggregate engagement report by email on the first Monday of every month by 8:00 AM Eastern. The report covers total sessions played, most-used categories, and overall engagement trends — enough to see how the benefit is landing with your team, without exposing which employee did what. If you'd like an off-cycle snapshot between monthly reports, just email us and we'll pull the current numbers for you.
What can we see about our employees' meditation usage?
Nothing at the individual level. Corporate reporting is aggregate-only. You see total sessions and category-level engagement across the whole company — never individual usage. Employees know their listening history stays private, which is a big part of why they'll actually use it.
Do you ask employees how they feel or track heart rate or other biometrics?
No, we never ask about mood and we have no way to track biometrics. There are no mood check-ins, no surveys, no heart rate, no sleep data, and no wearable connections. What we count is sessions played and which types of meditations are being used, reported to you in aggregate only.
Does meditation at work actually help employees?
Yes — the research is well-established. Regular short meditation is shown to reduce stress, sharpen focus, and lower reported anxiety. That's exactly why our sessions are 5 to 15 minutes: research shows short, consistent practice beats long, infrequent sessions. And unlike therapy or an EAP program, meditation is frictionless — no scheduling, no waitlists, no stigma. An employee can take 5 minutes at their desk between meetings and get a real benefit without having to book anything or explain it to anyone.
Content, branding, and employees
How workplace-safe is the corporate library? Will it sound woo-woo?
Very workplace-safe. The corporate library is secular and short-form, built for quick desk-side resets between meetings: Guided Meditations, Crystal Bowl Meditations, Binaural / Productivity Meditations, and Instrumentals. More spiritual content - Chakra, Psychic Growth, Spiritual Wellness - is not part of the corporate offering, but is available to your employees if they choose to upgrade their own membership, and those pages carry no corporate or sponsor branding of any kind.
Can we get custom or co-branded content?
Yes — on the content included in your subscription. When your team signs in, the sessions in your unlocked collection can carry your company logo alongside ours, so it feels like a benefit you're providing rather than a third-party app. Two important boundaries: Co-branding applies only to the content your subscription covers. If an employee upgrades personally to reach content outside your plan, that upgraded content stays unbranded — it's their private purchase. We don't produce fully custom meditations (scripts written specifically for your company). What we co-brand is our existing library.
What if an employee upgrades to Full Access on their own?
Full Access content an employee buys personally is treated as personal. Your company logo is stripped from those sessions and they're not included in company reporting.
Can family members or dependents access the platform?
Yes. Once you're set up as an employee with a corporate subscription, each family member can create their own individual account at a discounted rate of $5.00 per month (regular retail is $9.99). Your welcome email will include a personal discount code you can share with your household — spouse, partner, kids old enough to have their own account, whoever you'd like. Each family account is fully private — separate login, separate favorites, separate progress. Their account isn't tied to your employer and doesn't display any company branding.
Do you offer live sessions or events?
Not at this time. A Personal Moment is an on-demand library — every session is pre-recorded so employees can drop in whenever their schedule allows, whether that's a 5-minute reset between meetings or a longer wind-down at the end of the day. No calendars to coordinate, no time zones to work around, no missed events.
Can this replace our EAP?
We are not an EAP. A Personal Moment is a self-serve library of short meditations - guided sessions, crystal bowl sessions, binaural / productivity tracks, and instrumentals - that employees open in a browser and use on their own, most of them five to fifteen minutes and designed for use during the workday. It is a wellness benefit, not a clinical service: no counseling, no therapy, no crisis support. It sits alongside your EAP rather than in place of it, because your EAP covers the situations that need a licensed professional. On whether it gets used: most companies consider the program successful if they land between 20% and 30% average monthly usage, and we're glad to work with you to build an internal messaging and secondary email campaign to help you get there.
What happens if an employee opens the app during a crisis?
The app will do nothing but present them with a list of meditations. It is not an EAP or Crisis Counseling app.
Security, data, and compliance
Where is data stored? Do you support data residency requirements?
Employee account data (name, email, login credentials) is stored with Supabase, a widely-used platform database service. Our Supabase project runs in U.S.-based data centers. Payment information is handled entirely by Stripe and never touches our servers. If your company has a specific data-residency requirement — for example, EU-only or Canada-only storage for regulatory reasons — that's not something we can accommodate today. If your security team wants to read how that hosting layer handles data, Supabase publishes its privacy policy at https://supabase.com/privacy.
How do you handle GDPR data subject requests?
There's very little personal data to begin with. What we hold for an employee is their first name, last name, and company email address - nothing about their health, mood, session activity, or listening habits. If an employee leaves your company or wants their account closed, email us and that record is deleted within 48 hours of cancellation. Once deleted, it's gone from our active database.
Are you GDPR compliant?
We are not directly marketing our services to companies within the EU, and we do not track any individual's information or usage beyond first name, last name, and email address. That data is deleted within 48 hours of account cancellation.
Are you SOC 2, HIPAA, or GDPR compliant?
We're not a healthcare service and we don't handle protected health information, so HIPAA doesn't apply to us the way it would to a clinical provider. That's by design - the customer data we house is strictly limited to first name, last name, and company email address, and it is deleted within 48 hours of account cancellation. We don't track health metrics, mood, biometrics, or session content, and we don't sell data to anyone.
Are you SOC 2 certified?
The customer data we house is strictly limited to first name, last name, and company email address. That data is deleted within 48 hours of account cancellation. We hold no health data, no mood or biometric data, and no individual usage or listening history, and we don't sell data to anyone.
Do you support SSO/SAML?
Not at this time. A Personal Moment uses per-user email + password sign-in so each employee can track their own progress, save their favorites, and pick up where they left off across devices. Their account belongs to them, not to a shared company identity system.
Do you support HRIS integration or SCIM provisioning?
Not at this time. During company signup, you upload a CSV of your team (first name, last name, email) and everyone gets invited at once. Adding or removing people later is handled directly with us — no separate HR system connection required, just shoot us an email with the names and email addresses that correlate with the changes you'd like to make. Changes will take effect within 2 business days and the welcome email will be sent.
Do you offer data export or API access?
Not at this time — the platform is intentionally closed and secure, with no public API and no raw data export. This is part of how we keep employee privacy real: individual usage, session choices, and listening habits never leave our system. What you do get is a monthly report with fully de-personalized aggregate data — things like total sessions played, most-used categories, and overall engagement trends for your team. Enough to see whether the benefit is landing, without exposing which employee did what.
We have a vendor security review / security questionnaire. Will you fill it out?
Yes. Email it to Dan@Itsamoment.com and give us 48 hours to respond. If it's a long one, send it over as-is - we'd rather work from your form than ask you to fill out ours.
